Your team
You will be part of the Information Governance Division in the Directorate General Secretariat. Our Division has 60 members of staff providing the framework, policies, procedures and tools to ensure that ECB staff and European citizens can access and use the information and knowledge available at the ECB. You will be joining the Division at an interesting time. We are currently implementing an enterprise information management strategy and a knowledge management programme based on a holistic approach. This includes automating and digitalising business processes, engaging in artificial intelligence activities and exploring new, innovative technologies.
In your role as a trainee, you will be part of a dynamic team responsible for advising and supporting ECB users on standard information management, functional issues and the streamlining of processes. You will also be involved in knowledge management initiatives and other tasks aimed at bringing added value to the ECB. You will work closely with the Division’s staff and with key contact persons for all the ECB’s functions and operations.

Your role
As a trainee you will:
- contribute to a wide range of operational records management and archival support tasks related to the creation, processing, storage and preservation of information in a highly specialised environment;
- help provide functional support for the ECB’s information management systems;
- contribute to the monitoring of and reporting on information management practices, as well as the implementation of the ECB’s retention policy for paper and digital records;
- contribute to the Division’s innovative information and knowledge management projects;
- contribute to the design and development of business configurations in the ECB’s information management systems by performing business analysis, collecting requirements, testing and carrying out change management activities;
- support and maintain the ECB’s information management policies and procedures and develop training material to raise awareness and guide staff on these topics.

Qualifications, experience and skills
Essential:
- a bachelor’s degree or higher in information science, computer science, knowledge, archives and/or records management, librarianship or business administration; alternatively, if your first degree is not in one of these fields, a postgraduate diploma, master’s degree or higher qualification – or enrolment in a postgraduate course – in any of these areas;
- awareness of, and an interest in, the role and functioning of the ECB;
- a good knowledge of the MS Office package, in particular Word, Excel, PowerPoint and Outlook;
- an advanced (C1) command of English and an intermediate (B1) command of at least one other official language of the EU, according to the Common European Framework of Reference for Languages.
Desired:
- a sound understanding or working knowledge of (i) enterprise content management systems, such as OpenText Content Server and Microsoft SharePoint, and (ii) collaboration tools, such as Microsoft 365, especially Microsoft Teams and OneDrive, and wiki tools;
- a basic understanding of (i) web technologies, such as HTML and CSS, and/or (ii) online public access catalogues and/or digital preservation software, such as Preservica.
You are curious and eager to learn, and want to further develop your ability to analyse complex information. You are keen to collaborate with others, pursue team goals and learn from other people’s diverse perspectives. You strive to know and anticipate stakeholder needs, and will signal any need for change and propose alternative solutions.
